Customer keys: who holds them, right now

A cleaning company gets into offices, apartment buildings and shops before they open. To do that it holds its customers' keys: keys, badges, remotes, alarm codes. The question "who has this customer's key?" needs a sure answer, at once. Here is how we get one.

A key board is not enough

While the keys are few, a board and a notebook will do. Then customers grow, crews change, someone hands a key to a colleague for a shift and nobody writes it down. The day a customer asks who came in with their key, or a key goes missing, the notebook does not help.

Every key has a label and a holder

In FogliOre every key, badge or remote has a label (K-014, say), the customer and the site it opens, and a status: in the office, with an employee, back with the customer, or lost.

  • When the office hands out a key, the employee confirms the custody with a signature on the phone, the same one they use to sign their hours.
  • If they pass it to a colleague, bring it back, return it to the customer or lose it, they report it from the app. The office approves, and the colleague who receives it confirms in turn.
  • Every move stays in the key's history, with the handover and return reports.

Alarm codes never come out

The alarm code is the most sensitive thing a customer trusts us with. In FogliOre it is encrypted and appears in no list, not in the employees' app, the command line or answers to an assistant. Only HR can read it, from one page, and every read stays in the record.

What changes

When a customer asks who holds their key, the answer is one line, with a signature next to it. When a key goes missing, you know who had it and since when. And when an employee leaves, you see at once what they have to give back.

Customer keys are a module of FogliOre: switch it on if you need it. If you hold your customers' keys too, tell us how you work.
