Why our employees sign their hours

Anyone who runs crews at customer sites knows the scene: the pay stub arrives and someone says the hours don't add up. Since September 2026 the people in our crews sign their hours before they become pay. Here is how it works and why we did it.

Hours disputed after the fact

A timesheet goes through many hands: whoever fills it in, photographs it, retypes it, validates it. When an employee says at month end that two hours are missing, the office has its version and the employee theirs, and neither proves anything.

The same goes for a customer asking about the hours invoiced, or a staffing agency billing hours we have no record of. The data is there, but nobody confirmed it before it was needed.

How it works

  • During the period the employee logs shifts on the phone, or hands in a photo of the sheet.
  • At the end of the period they see a summary of their hours, day by day, and sign it with a passkey: the same gesture that unlocks the phone, no password.
  • Until the office approves, they can still correct it. Corrections by the office go through a queue, so it shows who changed what.
  • Once approved, the period is closed. It reopens only with a written reason, and the reason stays.

Signed hours are the ones that go into payroll periods, customer reports and the check against agency invoices. Nobody has to retype them.

What you are left with

What the employee signs is not a screen but a document: the period summary, always written the same way, with its fingerprint. The signature covers that fingerprint, so if someone changed an hour afterwards, the signature would no longer match.

The proof can be downloaded and checked without FogliOre. If in a year you need to show what was confirmed, and when, you don't have to trust the software: the proof is enough.

What this signature is not

It is not a qualified electronic signature like the ones on contracts or deeds. It is proof that they saw those hours and confirmed them, on their own phone, at that moment. For us, that was what was missing.

It does not replace advice on employment law: how attendance is recorded is a choice to make with your payroll adviser.
